Responsibilities may include:
Invoice Processing & Electronic Billing
- Processes checks/wires through CVP (controlled vendor posting) in S4Hana
- Answers inquiries as needed regarding status of a check/wire request
- Tracks credit entry in SAP (check/wire receipts)
- Conducts monthly cost center review of Legal G&A
- Enters journal corrections in S4 Hana - all Legal cost centers
- As a backup Coordinator for the electronic billing process including the on-boarding of new law firms and other vendors to electronic billing (e-Billing)
- Ensure all e-Billing firms comply with company electronic submission guidelines
- Serves as the secondary contact person between e-Billing software vendor and law firms
- Assists eBilling Coordinator and Attorney Work Team (AWT) with e-Billing issues and concerns
- Responsible for e-Invoice review of expenses and e-Invoice adjustment issues with the outside firms
- Responsible for SOX Audit Reconciliation of electronic invoice routes
- Enters and verifies matter related paper invoices/settlements/credits
- Verifies electronic invoice (ebills)
- Daily invoice batch validation
- Email request to Attorney Work Teams (AWTs) for vendors matter approvals, timekeepers, and rates approval
- Email request to AWT for accurate matter to process an invoice
- Handles vendor refund checks, settlement awards, and vendor credits
- Updates matter/financials/allocations tab and validate account codes in S4Hana
- Maintains/reconciles credit spreadsheet with Passport report on recoveries
- Resolves tasks assigned to LFS in Passport
- Handles inquiries from the AWTs
- Handles outside firm’s requests and inquiries re: invoices, timekeepers, and rates
- Requests signed W-9, Wires & EFT forms from vendors for vendor set up
- Sends copy of settlement requests with accrual to Assistant Accrual Coordinator
- Enters credits via CVP for check/wire receipts directly on the vendor account in SAP
- Mails checks to ConocoPhillips lockbox
- Participates/assists in special projects as requested
- Be knowledgeable of Legal and Corporate Security ALM
- Monitors all LFS resource mailboxes including Medicare mailbox
Financial Reporting
· Prepares, reviews, and distributes monthly outside spend report to management
· Assists with miscellaneous requests/needs from LMM and AWT
· Responsible for analysis/comparison of SAP Actuals/Budget vs SRD
· Prepares the monthly Legal Financial Results in PowerPoint
· Prepares Legal Quarterly Metrics
· Performs other audits as required by SOX
Budget & Allocation Process
· Assists Supervisor in developing the outside counsel budget and Legal operating and overhead budget
· Responsible for preparing the valid Client List for allocation
Matter Management Interface with Global SAP
· Works with IT Support to ensure invoices flow electronically from the company’s Matter Management System to SAP on a timely basis
· Acts as a liaison between Legal Matter Management (LMM), IT, and SAP production support
· Reconciles Matter Management System and SAP invoice interface on monthly basis
Other
·Submits new vendor set up requests
·Updates desk manual for Legal Accounting Analyst
Requirements:
Basic/Required
- Bachelor’s Degree or higher in Accounting, Finance, Business related discipline or foreign equivalent
- 3+ years of experience handling accounts payable, e-Billing, Accounting or Finance
- Intermediate level of proficiency in MS Excel, Outlook, PowerPoint and Word
- Basic proficiency working with SAP S4Hana
Preferred
- 1+ years of experience working in a corporate legal environment or law firm
